This policy explains how Hubert Holidays Ltd uses personal information when you visit hubertholidays.com, request a quote or receive digital services from Hubert Holidays Digital. It also explains what happens when a project involves personal information belonging to one of our clients.
1 Who we are
Hubert Holidays Digital is a service of Hubert Holidays Ltd (company number 15146229), registered in England and Wales. Hubert Holidays Ltd is the controller for personal information used for our website, enquiries, client relationships and business administration. 2 Information we collect
The information depends on how you interact with us. It may include:
quote-form information such as your name, business name, email address, phone or WhatsApp number, country, website, requested services, approximate deadline and project description;
business contact, proposal, contract, invoice, payment-status and communications records;
content and materials you provide for a website, marketing, social media or tourism project;
limited account or technical information needed to maintain a website or service, where included in the agreed scope;
personal information about your customers, visitors, leads or social media audiences where we handle it on your documented instructions as part of a project; and
technical and usage information about visits to our website, including essential cookie information and optional analytics data if you consent.
3 How we obtain information
We collect information directly from you when you use our forms, email, call, message us or work with us. We may also receive materials from your business, a service provider you ask us to use, or a public business website or social media page relevant to the project. Where you provide personal information about another person, you should have authority to do so and make sure the person receives relevant privacy information.
4 Why we use it and our lawful bases
Enquiries and proposals — to reply to your request and take steps at your request before a contract. We may also keep a record of the exchange under our legitimate interests in managing enquiries and explaining what was agreed.
Digital services — to enter into and perform a contract, prepare or update websites and content, manage social media or campaigns, provide support, administer access and communicate with you.
Business administration and legal duties — to keep appropriate accounting and contract records, comply with law, prevent misuse, protect our systems, and establish, exercise or defend legal claims. We rely on legal obligation or legitimate interests as applicable.
Marketing — to send occasional ideas and offers only where permitted by law. If consent is required, we ask you to opt in. You can unsubscribe or object at any time.
Website analytics — to understand how visitors use our website and improve it, only if you accept optional analytics through the cookie controls. Essential technical information is used to operate, secure and troubleshoot the website.
5 Personal information in client projects
Some projects involve access to information about a client’s customers, website visitors, leads, employees or social media audiences. The project agreement will define whether the client is controller and we act as processor, or whether we act as a separate controller for a particular use.
Where we are a processor, we use project personal information only on the client’s documented instructions, apply agreed security measures, restrict access, and use approved service providers where necessary. The client remains responsible for deciding its lawful basis, providing privacy information and responding to individuals’ rights requests. We will assist as agreed in the data-processing terms.
We do not use client personal information for our own unrelated marketing and do not sell it. We do not ask clients to send passwords or full payment-card details through ordinary email or a public form.
6 Who we share information with
We may share information with our staff and contractors, website and email hosts, cloud or project-management providers, domain or hosting providers, analytics providers where you consent, social media and advertising platforms used for a project, accountants, professional advisers and public authorities when required by law.
We share only information reasonably needed for each recipient’s role. A supplier may act as our processor or as an independent controller under its own privacy terms. We do not sell personal information.
7 International transfers and client roles
Some providers may process information outside the United Kingdom, including in the European Economic Area or elsewhere. If data protection law restricts a transfer, we use an approved transfer mechanism or another permitted safeguard. Contact us for information about safeguards relevant to your project.
Where we process personal information for a client, the contract and data-processing terms describe the client’s and our respective roles. If we receive a request from an individual about information we process only on a client’s instructions, we may refer the request to that client while assisting as agreed.
8 How long we keep information
Enquiries that do not become a contract are deleted within 24 months, in line with our current website policy, unless we need to retain them to resolve a matter, comply with law or establish, exercise or defend a legal claim.
Client records are retained for as long as needed to deliver and support the project and afterwards for the periods required by tax, accounting and other laws or reasonably needed for claims. Project materials and access details are removed when no longer needed for the agreed service. Where we act as a processor, the client’s documented retention and deletion instructions apply, subject to legal requirements.
9 Your rights
Depending on the circumstances and applicable law, you may ask us to access or correct personal information, erase it, restrict its use, receive certain data in a portable format, or object to particular processing. You may withdraw consent where we rely on it; withdrawal does not affect processing already carried out lawfully.
You have an unconditional right to object to direct marketing. To exercise a right, contact us at contact@hubertholidays.com. We may ask for information needed to confirm your identity and will respond within the period required by law, usually one month. Some rights are subject to legal exceptions.
You may complain to the UK Information Commissioner’s Office at https://ico.org.uk/make-a-complaint/. If you are in the European Economic Area, you may also contact the relevant data protection authority where you live, work or believe an infringement occurred.
10 Security and automated decisions
We use appropriate technical and organisational measures to protect information. No internet communication is completely secure. Please avoid sending passwords, full payment-card details or unnecessary sensitive information through a website form or ordinary email.
We do not currently make decisions about you solely by automated processing that produce legal or similarly significant effects.

Our Cookie Policy explains essential cookies and optional Google Analytics on hubertholidays.com. You can change your analytics choice through the Cookie settings control on the website. We may update this policy when our services, data practices or legal requirements change. The current version and update date will be published on the website.
